Creating and maintaining entries for people - Extra tab

Menu path 

Go to HR ➔ Human resources ➔ Maintain, and click the Extra tab.

Introduction 

You can create additional information such as the general ledger account of the resources, project items and many others at HR ➔ Human resources ➔ Maintain under the Extra tab. You can also attach a payroll slip, claim receipts, purchase order, resume, and other documents related to the resource.

Without the relevant resource information filled in under the General tab, all fields under the Extra tab cannot be modified. For more information on creating and maintaining resources, see Creating and maintaining entries for people.

Fields

Creditor data section

Name

Type the resource name. The resource name is pre-filled by the first and last name defined under General tab. It can be modified.

VAT number

Type the VAT (value-added tax) number of the selected resource. For more information on the overview of the VAT code, see Overview of VAT.

Payee name

Type the name of the selected creditor when issuing a payment. This name can be the same as the one at Name.

Offset account

Type or select the offset general account number of the selected creditor. You cannot type or select any general ledger account whose sub-administration type is Debtor, Creditor, Bank, or Cash account.

Classification

Type or select the classification where the selected creditor belongs to. There are nine types of classification, namely Associate, Bank, Customer, Division, Not validated, Prospect, Reseller, Supplier, and Suspect.

Creditor account

Type the creditor account to define the general ledger account the resource should be allocated to. Without the creditor account defined here, the financial transactions which are related to the resource will be recorded in the general accounts payable account.

Pricelist / Discount

Type or select the price list code for the selected creditor. For more information, see Creating and maintaining price lists.

Currency

Type or select the currency code for the selected creditor. For more information, see Creating and maintaining currencies.

Condition

Type or select the payment condition code for the creditor. For more information, see Creating and maintaining payment conditions.

Project section

Rate

Type or select the hour item of the external rate. The external rates are the sales price of items billable to your customers. A project manager can view and maintain the rates used for a project at a glance from the project master card. Only project managers or resources with price management rights can define the project price list or project external rate structure. Like internal rates, external rates structure is also priority-based. These priorities are structured to the net price defined in sales order lines, external rate defined in maintain projects, external rate defined in a template project (parent project), price defined in a price agreement, price defined in a pricelist, sales price of an item, and the external rate linked to the resource. However, the external rate structure is not available for trainings and production projects as these cannot be invoiced. Internal rate

Type the internal rate to determine the cost price per hour realized by the resource. Internal rates are the cost price of the items used in a project. In businesses, it is common that a company define several internal rates for the same item to use the different rates if the item is used in different projects and/or realized by different resources. Realizations are the registration of the actual time and materials spent on a project by your resources. Therefore, the internal rate structure is very important in determining which internal rate to be used based on a priority level. This means, if several internal rates are created, the system will take the internal rate of the higher priority. If you have assigned a cost price for a specific resource for a particular project at the Resources tab under Project ➔ Items ➔ Hours, the cost price defined in the E-Project module will overwrite the default internal rate for the same resource defined at HR ➔ Human Resources ➔ Maintain or Payroll ➔ Human Resources ➔ Maintain. Extra section

Human resources: free fields 1 - 5

Type the required description for the respective free field. It could be alphanumeric.

Human resources: free fields 6 - 10

Type the required description for the respective free field. It must be a date format.

Human resources: free fields 11 - 15

Type the required description for the respective free field. It must be numeric.

Human resources: free fields 16 - 20

Type the required description for the respective free field. It must be a selection format.
